Job Description
We are seeking a meticulous Document Controller based in King of Prussia, Pennsylvania. The role involves maintaining and managing company documents while ensuring their accuracy, quality, and integrity. The selected candidate will be responsible for the control, security, accessibility, and timeliness of organizational documents such as policies, procedures, and templates, which are crucial to the company's progress. This role offers a contract to permanent employment opportunity.
Responsibilities:
• Manage the intake, handling, and storage of our company's documents.
• Ensure that organizational documents go through a documented and approved review-and-approval process before being stored.
• Oversee document lifecycle (request, review, revise, approve, distribute, revise, retire, dispose of).
• Ensure that company documents are maintained and updated and that old documents are archived.
• Develop processes and policies for document creation and storage.
• Respond to company staff inquiries regarding documents.
• Use Microsoft Office Suites to create and manage documents.
• Utilize data entry skills for document control and management.
• Answer inbound calls related to document inquiries and requests.
• Assist in the creation of document filing and organizing systems that are both effective and efficient.
• Ensure document security by creating user permissions and restrictions within the document management system.
• Conduct document audits confirming they are current and accurately reflect recorded evidence.
• Ensure all documents are accessible at all times by maintaining the document management system.
• Train staff in the use of the company's document management system and in the use of documents themselves.
• Must have a minimum of one year experience in a Document Controller role or similar
• Proficiency in Microsoft Office Suites is required
• Demonstrated ability to perform data entry tasks, including numeric data entry
• Experience in answering inbound calls
• Prior experience in document control, including filing, retrieval, and maintaining of documents
• Excellent written and verbal communication skills
• Strong attention to detail and organizational skills
• Ability to work independently and within a team
• Must be able to handle confidential information responsibly
• Experience in a fast-paced, deadline-driven environment is preferred
