A bit about us:

The EMR Manager is responsible for overseeing Electronic Medical Record (EMR) access management function. This role interacts with partner hospitals to establish and maintain EMR access for internal staff assigned to each hospital in its designated service area. The EMR Manager will provide process optimization and training to staff to assure timely access to EMR systems. They will also maintain documentation and provide regular reporting to the Chief Information Officer, Operational VPs and Directors on EMR status as well as IT management.

80% of the focus for this role is understanding the different hospitals function, what their concerns are, and how to build confidence that processes meet their expectation.
The remaining 20% is a technical understanding of hospital EMR systems and integration so that they can have peer-to-peer conversations with systems administrators.

Job Details

The EMR Manager designs, plans, implements, manages and evaluates systems and procedures necessary to ensure staff has access to hospital based electronic health records (EMRs). The EMR Manager works with the individual hospitals and internal staff to ensure access, integrity, and security necessary for the process of donation to occur. The EMR Manager must be able to clearly communicate access plans to organizational staff, as well as internal/external stakeholders. This position requires knowledge of identity and access management best practices. This individual must possess strong interpersonal and strategic skills. This position requires the ability to develop relationships, with a strong attention to detail and excellent (written and oral) communication skills. Contract negotiation and the ability to work in a fast paced, dynamic environment and adjust to new priorities is required.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  • Responsible for obtaining and maintaining remote and onsite access privileges to partners electronic healthcare records (EMR) systems.
  • Will onboard new staff: setup authorization for EMR access accounts, training, privacy requirements and their responsibilities on maintaining accounts.
  • Maintains SharePoint reference lists for staff access status lookup
  • Maintain up to date list of all staff and their current access rights by hospital for reporting to Directors.
  • Assists staff with reapplying for access privileges if revoked.
  • Provide staff termination notifications to partner hospitals and update internal records.
  • Monitors EMR Support Service Desk mailbox and assists with issues as needed.
  • Develop appropriate reporting to each group using EMR to indicate current status of access rights.
  • Develops appropriate relationships with each hospital or partner that has an EMR system (EPIC, Cerner, McKesson etc.) to maintain local contacts and secondary resources for access needs.
  • Must coordinate with the Hospital Development Department to assure necessary contacts with each Hospital partner.
  • Responsible for innovation and implementation of automation to reduce end user complications and streamline the process of obtaining and maintaining access rights to EMR systems.
  • Meet regularly with Organ, Hospital Development, Donor Records and Donor Operations staff to assure proper alignment with access needs.
  • May travel to remote offices to interact with staff/management on their EMR specific needs.
  • Maintains documentation on EMR related meetings and processes on designated Microsoft Team Sites.
  • Responsible for providing emergency support for EMR access issues during and after business hours.
  • Will provide after-hours call support including password resets and on-call emergency support on a rotation basis.
  • Be available to travel to alternate business sites as needed.
  • Aids in maintenance of business continuity and emergency response plans, maintain current knowledge of plan executables, and responds to crises in accordance with crisis response plans.
  • Identifies problem areas in a timely and accurate manner, and provide end user training and assistance where required. Creates educational instruction for end users as needed.
  • Develops help sheets and frequently asked questions (FAQ) lists for end users.
  • Keeps up-to-date with organ procurement organizations (OPOs) industry direction, guidance and requirements. Health Insurance Portability and Accountability Act (HIPAA), Centers for Medicare and Medicaid Services (CMS), Federal Drugs Administration (FDA), United Network of Organ Sharing) UNOS, Association of Organ Procurement Organizations (AOPO), American Association of Tissue Banks (AATB), and Eye Bank Association of America (EBAA).
  • Participates in audit events as needed.
QUALIFICATIONS
  • Required generalist knowledge in various IT areas, such as networking, desktop support, and security, and methods used in those areas.
  • Required strong communication and documentation skills.
  • Required in-depth experience with Microsoft Active Directory.
  • Required application support experience with Microsoft products and Cloud based applications such as Office 365 and Office Suites.
EDUCATION AND EXPERIENCE
  • Degree in IT technology or administration preferred.
  • Minimum 4 years of hands on IT experience in a Microsoft Windows environment, preferably in the healthcare industry.
  • MCSA, A+, Network+, Security+ certifications are desired.
  • Vendor or Industry Certification in a specific EMR system is highly preferred.
